Calendar & Meetings
When the notetaker doesn't show up, transcripts are missing, or meetings don't appear.
The notetaker didn't join my meeting
Check these in order:
- Is your calendar connected? Open Profile settings → Integrations to confirm.
- Is recording enabled for this meeting type? Your meeting settings might restrict to Organized by me or When invited. See Setting Up the Notetaker.
- Did you toggle off recording for this specific meeting? Check the Upcoming tab.
- Does the calendar event have a recognizable video link? The bot needs a Google Meet, Zoom, or Teams URL in the event.
- Was the bot admitted from the waiting room? If the host didn't let it in, you'll see In waiting room status and then a failure.
- Did the event start time change at the last minute? Sometimes the bot misses meetings that were rescheduled less than a minute before start.
If the failure shows in the Past list with a red error indicator, the message there tells you why.
My meeting is recorded but the transcript or summary is missing
After a meeting ends, post-processing takes a few minutes. If it's been more than 30 minutes:
- Refresh the meeting page.
- Check the upper banner on the meeting — it'll show Transcribing your recording if it's still in progress.
- For uploaded recordings, large files take longer to process.
If it stays stuck for over an hour, contact support with the meeting URL.
Upcoming meetings aren't showing up
- Confirm your calendar connection is still active in Profile settings → Integrations.
- Try disconnecting and reconnecting the calendar. Tokens can occasionally expire.
- Check that your Workspace → Apps has Google Calendar or Outlook Calendar enabled. An admin can toggle that.
I deleted a meeting by accident
Meetings can be permanently deleted by their owner. There's no Trash for meetings; once gone, they're gone. If you deleted via the bulk delete in the Past list, the data is removed.
For data recovery in catastrophic cases, contact support immediately — recovery may be possible from backups within a short window.
The audio waveform or video player isn't loading
- The recording URL is short-lived and refreshed on demand. Reload the page to fetch a fresh URL.
- Check your network — large media files can stall on flaky connections.
- For audio-only meetings the waveform is animated as audio plays; if you see a flat line, playback may be paused.
My calendar shows the wrong times
Times in MainBranch use your configured timezone (Profile → Profile → Timezone). If they look off, check that value matches your actual location. Calendars from the source provider are stored in UTC and converted on display.
Notetaker showed up but participants couldn't see it
This happens when the host platform tries to hide bots or when the bot is in a side room. As long as the meeting shows up in your Past list with a transcript, the recording succeeded — you just may not have noticed it in the participant list.
