Sharing Meetings

Share with specific people, your whole organization, or via a secure link.

By default, a meeting recording is visible only to its owner — the person who recorded or uploaded it — and to any participants who were on the call. You can extend access from the share dialog.

Opening the share dialog

From the meeting detail page, click Share in the header. The current sharing state is shown at the top.

Who can share a meeting

You can share a meeting if you are:

  • The owner (uploaded or set up the recording), or
  • A participant in the meeting.

Sharing options

Only people invited

The default. Add team members by name. They get access to this specific meeting and a notification that you shared it. You can remove anyone from the list at any time.

Anyone in organization

Toggle this on to give everyone in your workspace access. Org members see the meeting in their lists and can reference it from chat.

This option requires that the meeting owner is a member of your workspace.

When sharing is enabled, MainBranch generates a secure, token-gated link. Anyone with that link can view the meeting, ask questions in the meeting chat, and use the transcript — they can't delete or reshare it. They don't see sharing controls or other meetings.

Unsharing

Click Unshare in the share dialog to remove all sharing — both org-wide and per-person — at once. Existing links stop working immediately.

What viewers can do

People you've shared a meeting with can:

  • Watch or listen to the recording.
  • Read and search the transcript.
  • Read the summary, action items, and key topics.
  • Ask questions in the meeting chat.

They cannot:

  • Delete the meeting.
  • Reshare it.
  • See your other meetings.

Audit trail

Sharing, unsharing, and access changes are recorded in the audit log so admins can see who has access to what.
