The Vault
The Vault is your secure document repository within Mainbranch. It provides a central location to store, organize, and search across your documents, making them available to the AI Assistant for analysis.
Overview
Section titled “Overview”The Vault serves as your organization’s knowledge store within Mainbranch. Documents in The Vault are:
- Indexed and searchable
- Available for AI analysis
- Organized by type, date, and source
- Access-controlled based on permissions
Accessing The Vault
Section titled “Accessing The Vault”Click The Vault in the sidebar to access your document repository.
Browsing Documents
Section titled “Browsing Documents”File List
Section titled “File List”The main view displays your documents in a list or grid format. Each file shows:
- File name and type
- Date added or modified
- Source (if from a connected service)
- File size
Filtering
Section titled “Filtering”Use filters to narrow down the displayed files:

Searching
Section titled “Searching”Use the search bar at the top of The Vault to find specific files. You can search by:
- File name
- Content within documents
- Keywords and phrases
Uploading Files
Section titled “Uploading Files”You can upload files directly to The Vault for storage and AI analysis.
Drag and Drop
Section titled “Drag and Drop”-
Open The Vault
Navigate to The Vault from the sidebar.

Drag Files
Drag files from your computer and drop them onto The Vault interface.

Wait for Processing
Files are uploaded and indexed. Once complete, they appear in your file list and become searchable.
Upload Button
Section titled “Upload Button”Alternatively, click the upload area or button to open a file picker and select files from your computer.
Supported File Types
Section titled “Supported File Types”The Vault supports a wide range of file types:

Working with Files
Section titled “Working with Files”Viewing Files
Section titled “Viewing Files”Click on a file to open it in the document viewer. Depending on the file type, you can:
- Read document content
- View images at full size
- Play audio and video files
- Browse spreadsheet data
File Actions
Section titled “File Actions”Right-click a file or use the actions menu to:
- Download — Save the file to your computer
- Delete — Remove the file from The Vault (if you have permission)
- View details — See file metadata and properties
Sharing Files
Section titled “Sharing Files”Files in The Vault inherit permissions from your organization’s settings. Contact your administrator if you need to adjust file access.
Integration with AI Assistant
Section titled “Integration with AI Assistant”Documents in The Vault are automatically available to the AI Assistant. This means:
Searching Vault Content
Section titled “Searching Vault Content”When you ask the AI a question, it searches The Vault along with other connected sources:

Section titled “File Organization”Understanding Sources
Section titled “Understanding Sources”Files in The Vault come from different sources:
- Uploaded — Files you manually uploaded
- Google Drive — Synced from Google Drive
- OneDrive — Synced from Microsoft OneDrive
- Gmail — Email attachments
- Outlook — Email attachments
Using Filters Effectively
Section titled “Using Filters Effectively”Combine filters to find files quickly:
Example: Find all PDF documents from Google Drive uploaded last month- File Type: Documents (PDF)- Source: Google Drive- Date Range: Last monthStorage and Limits
Section titled “Storage and Limits”Storage Quotas
Section titled “Storage Quotas”Your organization may have storage limits for The Vault. Check with your administrator if you encounter upload limitations.
File Processing
Section titled “File Processing”After upload, files go through processing:
- Upload — File transferred to secure storage
- Indexing — Content extracted and indexed for search
- Available — File appears in The Vault and is searchable
Processing time depends on file size and type. Most files are available within a few minutes.
Best Practices
Section titled “Best Practices”Organize as You Go
Section titled “Organize as You Go”Upload files with clear, descriptive names to make them easier to find later.
Use Search Over Browsing
Section titled “Use Search Over Browsing”With many files, searching is often faster than browsing through folders.
Regular Cleanup
Section titled “Regular Cleanup”Periodically review and remove outdated files to keep The Vault organized.
Let the AI Help
Section titled “Let the AI Help”Ask the AI Assistant to find files for you:

- Refresh the page
- Check if the file type is supported
Cannot Find a Specific File

- Check your filters (they may be excluding the file)
- Verify you have access to the file
Upload Failing
Section titled “Upload Failing”- Check your internet connection
- Verify the file is not too large
- Try a different file format
