Search Problems

This guide helps you resolve issues with search results and the AI Assistant.

  1. Content not yet synced — New content needs time to index
  2. Permission issues — You may not have access to the content
  3. Content not in connected sources — The data source may not be connected
  4. Search terms too specific — Try broader terms
  1. Verify the content exists in a connected source
  2. Check you have permission to access it in the source
  3. Try different search terms or phrasings
  4. Allow time for recent content to sync
  5. Check connector status if nothing appears
  • Content must be indexed before it’s searchable
  • Indexing occurs after sync from the source
  • Processing time varies by content type
  • Wait 5-15 minutes for recent content
  • Verify the content is in a connected source
  • Check connector sync status
  • Refresh and try again
  • Add more specific terms
  • Include dates, names, or departments
  • Try different phrasings
  • Use follow-up questions to refine
  • Specify what you’re NOT looking for
  • Add time constraints
  • Name specific sources or document types

Causes:

  • Network connectivity issues
  • Temporary service issues
  • Browser problems

Solutions:

  1. Check your internet connection
  2. Refresh the page
  3. Wait a moment and try again
  4. Try a different browser

If the AI provides wrong information:

  1. Check the source citations
  2. Verify in the original document
  3. Rephrase your question
  4. Ask for more specific information

Possible reasons:

  • Information doesn’t exist in connected sources
  • You don’t have permission to access it
  • The content isn’t indexed yet
  • Your question is too vague

Try:

  • Being more specific in your query
  • Checking if the source is connected
  • Verifying you have access to the content
  • Waiting for recent content to sync

If responses lack detail:

  • Ask more specific questions
  • Provide context in your query
  • Reference specific documents or topics
  • Use follow-up questions
  • Check The Vault filters aren’t hiding files
  • Verify the file was uploaded successfully
  • Allow time for processing
  • Try different search terms
  • Some file types may have limited indexing
  • Large files take longer to process
  • Corrupted files may not index properly
  • Try re-uploading if issues persist
  • Allow time for processing after meeting ends
  • Verify the meeting was recorded
  • Check meeting recording settings
  • Transcripts need processing time
  • Audio quality affects searchability
  • Technical terms may not match exactly
  • Check your internet connection
  • Try more specific queries
  • Reduce the scope of your search
  • Clear browser cache
  • Complex questions take longer
  • Large context requires more processing
  • Network issues can cause delays
  • Try simpler questions first

Write queries as questions:

Instead of: "budget Q3"
Try: "What was the Q3 budget allocation?"

Include relevant details:

Instead of: "Find the report"
Try: "Find the quarterly financial report from October 2024"

Refine results with follow-up queries:

Initial: "What is our remote work policy?"
Follow-up: "What are the approval requirements?"
